QuickBooks knows what you invoiced, what you owe and what cleared the bank. It does not, on its own, tell you what your balance will be in week seven. A QuickBooks cash flow forecast built on top of that ledger closes the gap, and the useful version of it is rolling rather than static: it re-reads the books every day and re-dates every expected movement rather than freezing a projection you made last month.
What Finoya Adds to QuickBooks Online
Finoya reads your QuickBooks Online data and converts it into a dated schedule of cash movements projected 90 days forward. QuickBooks remains the system of record. Nothing is written back to your books, and no journal entries are created.
The division of labour is straightforward:
| Job | QuickBooks Online | Finoya |
|---|---|---|
| Record transactions | Yes, system of record | Reads only |
| Bank reconciliation | Yes | Uses the reconciled result |
| Report what happened | Yes, P and L, balance sheet, AR aging | Uses these as inputs |
| Project the next 90 days of cash | Limited, and rebuilt manually | Rolling, refreshed daily |
| Date receipts by customer behaviour | No, works from invoice terms | Yes, from observed payment history |
| Model a hire or a price change | No | Yes, scenario planning |
| Explain why the balance moves | No | Yes, in plain language |
If you already run QuickBooks well, you have done most of the hard work. The ledger is the expensive part to maintain. The forecast is the cheap part to add.
Why a QuickBooks Cash Flow Forecast Built by Hand Runs Optimistic
This is the single largest source of error in any QuickBooks cash flow forecast built by hand. QuickBooks dates an expected receipt from the invoice terms. Customers do not pay on terms.
Xero Small Business Insights measured average time to payment at 29.3 days in the second quarter of 2026, roughly nine days beyond agreed terms, and deteriorating from 28.3 days and 8.4 days late in the fourth quarter of 2025. The direction of travel is later, not earlier.
A forecast that assumes net 30 means net 30 will show cash arriving in week four that actually arrives in week six. Do that across a full receivables ledger and the projection is not slightly optimistic. It is wrong in the specific weeks you were trying to protect.
Finoya dates each expected receipt from how that customer has actually paid you before, not from what the invoice says. Customers who habitually pay at 45 days are modelled at 45 days. That single correction is usually the difference between a forecast that matches the bank and one that does not.
What the First 60 Seconds Looks Like
- Connect QuickBooks Online. Standard OAuth through Intuit. Read access only. No data is written back to your books.
- Finoya pulls history and open items. Open invoices, open bills, recurring transactions, bank balances and enough transaction history to establish payment patterns.
- A 90 day forecast appears. Weekly granularity, showing projected closing balance for each week and the lowest point in the period.
- Review the assumptions. Check the opening balance against your actual bank balance, then override any payment date you already know is different. Known beats modelled every time.
Step four matters more than it sounds. If you know a large customer has promised payment on a specific date, put that date in. The model handles the customers you cannot predict; you handle the ones you can.
Where a Rolling Forecast Changes Decisions
Hiring
A new role is a fixed weekly outflow starting immediately against revenue that arrives later. Running it as a scenario shows the lowest weekly balance across the next quarter rather than the average month, which is the number that actually decides whether the hire is safe. The detail sits in scenario planning.
Paying suppliers early for a discount
A 2% early payment discount is worth taking only if the cash is genuinely spare in that week. A weekly view answers that. A monthly average does not.
Chasing the right invoice
When the forecast shows a shortfall in week nine, the useful question is which receivable, if collected, closes it. That is a narrower and more answerable question than “chase everyone”.
Knowing your books are ready
A forecast is only as good as the ledger under it. Uncategorised bank feed items, stale receivables and unreconciled card accounts all distort the projection, which is why the pre-forecast cleanup is worth doing before you judge the output.
What This Does Not Do
Worth being clear, because a forecast oversold is a forecast abandoned.
It does not replace your accountant or your bookkeeper. It reads the books; it does not maintain them. It does not predict new business you have not yet won, so if most of your revenue comes from work that is not yet invoiced or contracted, the receipts side will be thin and you will need to add expected sales manually. It will not fix a ledger that is months behind. And it does not make the decision for you. It makes the consequences of the decision visible before you commit to it.
For businesses running on Xero instead, the same model applies through a different connection, and firms managing several client files at once will find the multi-client setup covered on the accountants page.
